Manage Templates

The Templates management interface provides a comprehensive view of all your WhatsApp templates with powerful search, filtering, and action capabilities.

Templates Grid

The main templates view displays a grid with all templates in your organization.

Status Indicators

Templates display color-coded status badges:

Searching Templates

The search bar at the top allows you to find templates quickly.

Searchable Fields

Search queries match against multiple fields:

  • Template name (technical identifier)
  • Template label (display name)
  • Description
  • Category (MARKETING, UTILITY, AUTHENTICATION)
  • Status
  • Language
  • Body text content
  • Header text
  • Footer text
  • Button labels
  • Created by user
  • Updated by user

Search Tips

  • Search is case-insensitive
  • Partial matches are supported
  • Search updates as you type (with debounce)
  • Click the refresh button to reload results

Viewing a Template

To view template details:

  1. Click on any template row in the grid
  2. Or select View from the actions menu

View Panel Sections

The view panel displays:

Header Section

  • Status badge
  • Category with emoji
  • Language with flag

Preview Section

  • Full WhatsApp preview of the message
  • Shows how it will appear on devices

Details Section

  • Name: Technical identifier
  • Template ID: Unique system ID
  • Segment: Target audience
  • Frequency: Sending periodicity
  • Description: Template purpose

Message Content

  • Header (text/media type)
  • Body text
  • Footer text

Variables

  • List of all variables with sample values
  • Format: {{1}} → sample_value

Buttons

  • Button type icons
  • Button labels
  • Action details (URL, phone, flow)

Metadata

  • Created date and user
  • Last updated date and user
  • Published date and user (if applicable)

Editing a Template

To edit a template:

  1. Click the Actions menu (three dots) on the template row
  2. Select Edit

Editable States

Edit Form

The edit form is identical to the create form:

  • Required Tab: Name, label, description, category, segment, periodicity, language, body text
  • Optional Tab: Header, footer, buttons
  • Variables Section: Update sample values
  • Live Preview: See changes in real-time

Saving Changes

  1. Make your modifications
  2. Verify the WhatsApp preview
  3. Click Save Changes
  4. Template remains in its current status (draft stays draft, rejected stays rejected)

Deleting a Template

To delete a template:

  1. Click the Actions menu
  2. Select Delete
  3. A confirmation dialog appears

Delete Dialog

The delete dialog requires:

  1. Select a Connector: Choose the WhatsApp connector associated with the template
  2. Review Summary: Shows template name, technical name, phone number, and current status
  3. Confirm: Click Delete to proceed

⚠️ Warning: Deleting a template is permanent and cannot be undone.

Available Actions by Status

Sorting and Filtering

Sorting

Click column headers to sort:

  • Click once for ascending order
  • Click again for descending order
  • Default sort is by Last Updated (newest first)

Filtering

Use the search bar to filter templates:

  • Type keywords to filter results
  • Results update automatically
  • Clear the search to show all templates

User Information

The grid shows user information for:

  • Created By: The user who originally created the template
  • Edited By: The user who made the last edit
  • Published By: The user who submitted for approval

Each user cell displays:

  • User avatar (initials or image)
  • User name

Pagination

For large template collections:

  • Grid uses server-side pagination
  • Scroll to load more results automatically
  • Results are fetched in batches for performance

Refreshing Data

To refresh the templates list:

  1. Click the Refresh button next to the search bar
  2. Or reload the page

This fetches the latest data from the server, including:

  • New templates created by other users
  • Status changes from Meta reviews
  • Recent edits and deletions

Best Practices

  • Regular cleanup: Delete unused draft templates
  • Naming conventions: Use consistent naming for easy searching
  • Status monitoring: Check pending templates regularly
  • Documentation: Use descriptions to explain template purpose
  • Version tracking: Note changes when editing rejected templates
